New Hire Checklist for Managers

1. Order hardware and software using the Hiring Manager: New Hire IS Request Form

Note: Network, e-mail, Canvas, and Self Service accounts will be automatically be created five days prior to the employee's start date; you do not need to do anything for this to happen. Everyone will automatically have access to personal H: drive, Department Shared I: drive, J: and K.

2. Order business cards and name tags by following these instructions

3. Notify all employees who will work with this employee of the start date for the new hire

4. Prepare Office space including desk supplies

Day Before Employee Arrival

  1. Confirm with Helpdesk time for computer set-up and phone number.
  2. Confirm new hire added to calendars and email lists.
  3. Organize a welcome gathering in person or virtual. 
  4. Assign "buddy" employee to answer general questions.

First Day

  1. Introduce new hire to assigned "buddy".
  2. Review departments safety plan, what happens, and where to go when a fire alarm sounds.
  3. Encourage employee to get involved with college activities and committees both virtually and on campus.
  4. Have lunch with the new employee, or have the assigned buddy have lunch with the new employee.
  5. Touch base with the new employee at the end of the day.
  6. Tour of facility, including:
  • Restrooms
  • Mail rooms
  • Printer/copier/fax centers
  • Parking
  • Office supplies
  • Kitchen
  • Coffee/vending machines
  • Dining Hall
  • Emergency exits 

7. Make sure the new employee has registered a car and ordered a parking pass.

Position Information

  1. Introductions to the team.
  2. Review initial job assignments and training plans.
  3. Review job description and performance expectations and standards.
  4. Review performance appraisal process.
  5. Review job schedule and hours, including breaks, lunchtime, and overtime.
  6. Review payroll timing, time cards, reporting/requesting time-off policies and procedures.
  7. Relationships with other departments.
  8. Hardware and software reviews, including:
  • E-mail
  • Intranet
  • G-suite
  • Data on shared drives
  • Databases
  • Datatel
  • Oracle
