New Hire Check List for Managers

1. Send e-mail to Accounts@Champlain.Edu for the following access:

  • Employee Name:
  • Start Date:
  • Faculty or Staff:
  • Are they : Full-Time Part Time or Temporary
  • Needs access to the following directories on X:
  • Needs access to the following generic e-mail accounts:
  • Will be taking over the following phone/phone number :
  • Needs ImageNow access:
  • Needs Datatel account access:
  • Needs access similar to Or needs access to the following screens:
  • Informer Access:
  • Needs access similar to Or needs access to the following areas:

Note: Network, e-mail, Canvas and WebAdvisor accounts will be automatically be created five days prior to employees start date; you do not need to do anything for this to happen. Everyone will automatically have access to personal H: drive, Department Shared I: drive, J: and K.

2. Order all necessary computer equipment:

3. Order Business Cards and Name Tag

Day Before Employee Arrival

  1. Confirm with Helpdesk time for computer set-up and phone number.
  2. Confirm new hire added to calendars and email lists.
  3. Organize a welcome gathering (i.e. bagels, cookies, cake).
  4. Assign "buddy" employee(s) to answer general questions.

First Day

  1. Introduce new hire to assigned "buddy".
  2. Review departments safety plan, what happens and where to go when fire alarm sounds.
  3. Encourage employee to get involved on campus.
  4. Have lunch with new employee, or have the assigned buddy have lunch with new employee.
  5. Touch base with the new employee at the end of the day.
  6. Tour of facility, including:
  • Restrooms
  • Mail rooms
  • Copy centers
  • Fax machines
  • Parking
  • Printers
  • Office supplies
  • Kitchen
  • Coffee/vending machines
  • Dining Hall
  • Emergency exits and supplies

7. Make sure new employee has registered car and ordered a parking pass.

Position Information

  1. Introductions to team.
  2. Review initial job assignments and training plans.
  3. Review job description and performance expectations and standards.
  4. Review performance appraisal process.
  5. Review job schedule and hours, including breaks, lunchtime, and overtime.
  6. Review payroll timing, time cards, reporting/requesting time off policies and procedures.
  7. Relationships with other departments.
  8. Hardware and software reviews, including:
  • E-mail
  • Intranet
  • Microsoft Office System
  • Data on shared drives
  • Databases
  • Datatel
