Workfront: A Simple Guide

Using Workfront (our project management tool) to make project requests and communicate about ongoing projects is easy. Read on to see how it works.

Login to Workfront. Your username and password are the same as your Champlain credentials; please be sure to use only lowercase letters for your username.

Select “Requests.” Click “New Request” button, then “Select a Request Type.” Choose from the following list of options:

  • Request a Project (Collateral, Web, Advertising, Branding, Email, Video, Photography)
  • Request a Small Web Edit (Webmaster)
  • Request Digital Signage

Complete the request form. All questions with bold headers are required. Click the ‘?’ symbol for additional information about select fields. If you have already written copy or have examples of similar work you would like to share, please attach it using the tool at the top of the form.

Once you have submitted all the necessary information, you will receive an email confirming that the job request has been received. The more advance notice we receive, the better we're able to brainstorm and provide you with the best possible product.

If you need to make a change to a request you made, simply log in to Workfront, select “Requests”, then click “Edit Request Form,” make any necessary edits and click Save.

Once a Request has been converted to a project, you can find it under “Projects”, “Projects I’m On”.

When project copy is ready for your review, you will receive a notification from Workfront and a link to access the copy. Click the link within the email to begin; you will be directed to the Documents section of your project in Workfront.

Select the copy document and click “Open.” Please make any edits directly in the document, which is already named with your initials. When you are done, simply close the copy document and return to the Workfront screen. Click “Approve” (if copy is fine as is), “Changes” (if edits are necessary). “Reject” is only used for projects requiring a complete re-drafting. Your project manager will receive an email that your approval or edits are awaiting review. There is no need to attach the revised copy file.

When a layout is ready for your review, you will receive a notification from Workfront, and a link to access the PDF file. Click the link in your email to begin; you will be directed to the Documents section of your project in Workfront.

Select the layout document and click “Download.” Locate the file within your Download file and Open it. (You will not be able to fully view or comment on a PDF that is open in your browser window.)

Open the downloaded file in Acrobat and use the Comment tools outlined below to make any edits.

Save the PDF and append the file name with “_ClientEdits[your initials]” (ex: _ClientEditsJC).

Return to the Workfront screen. Click “Approve” (if layout is fine as is), “Changes” (if edits are necessary). “Reject” is only used for projects requiring a complete re-drafting.

If edits are required, navigate to “Documents”, click “Add Documents” and upload the new version of your PDF.
